POLICIES 

Deposit Policy

  • A 50% non-refundable deposit is required to secure provisionally booked meeting rooms and accommodation. This deposit must be paid within 28 days of the proposal date.
  • The deposit is specifically allocated to the rooms and facilities originally booked, and cannot be reallocated or transferred to other components of the booking (such as catering, activities, or alternate dates).
  • For package bookings, the deposit will be calculated based on the standard booking rate, with any eligible discounts applied to the final invoice.
  • If the deposit is not paid within the required timeframe, the booking will be released and the dates made available to other enquiries.

Booking Amendment Policy

  • Final Function Forms for group bookings will be sent approximately eight weeks before the arrival date.
  • Final confirmation of guest numbers and catering requirements must be submitted no later than four weeks prior to arrival.
  • Changes to guest numbers may be made up to one week before the arrival date, subject to availability.
  • The final invoice will be based on the minimum confirmed guest numbers and facilities as at the four-week deadline, regardless of any later reductions.

Cancellation Policy

  • If an entire booking is postponed more than 12 weeks before the arrival date, the whole deposit may be held as credit for a single future booking within 12 months.
  • If any rooms or facilities are cancelled, the deposit paid towards securing those spaces will be forfeited — it is not transferable to other elements of the booking.
  • For all cancellations or postponements:
    • Within 12 weeks of the arrival date: the deposit is forfeited.
    • Within 4 weeks of the arrival date: full payment is required for all confirmed accommodation, meeting rooms, and catering.

Catering Policy

  • To ensure the health and safety of all guests, NO OUTSIDE FOOD IS ALLOWED ON THE PREMISES.
  • This policy helps protect guests with dietary requirements and prevents additional cleaning requirements.
  • Guests found consuming food brought from outside may be fined up to $100.

Damage Policy

  • Guests are responsible for any damage or excess cleaning required beyond normal wear and tear during their stay. This includes, but is not limited to:
    • Spills or stains on carpets and furnishings, particularly in areas where food or drink consumption is not permitted
    • Misuse of spaces or equipment resulting in damage
    • Any situations that require specialised or additional cleaning beyond our usual housekeeping routines
  • Where applicable, charges will be included in the final bill. In cases where an external contractor is required (e.g. professional carpet cleaning), costs may be invoiced separately once confirmed.
